General Data Protection Regulation Policy

The General Data Protection Regulation (GDPR) comes into force on the 25th May 2018.

Frome Model Flying Club (The Club) is obliged by this new regulation to:

  1. Advise members of personal information held
  2. Advise members what is done  with that information
  3. Advise members how to request a review or erasure of that information

The information held for each member is:

  1. Name and Address
  2. Telephone number(s)
  3. Email address
  4. BMFA Number and Achievement Scheme Status
  5. Date of Birth.

The information provided on membership application forms is transposed (along with any changes subsequently notified to us) to a computer database system. The information we hold is only available to the officers of the club (Chairman, Secretary and Treasurer), and to the BMFA solely for the purposes of managing membership of that organisation where it is arranged through the Club

Separately, we also maintain a record of the method that subscriptions are paid by, e.g. Cheque, bank funds transfer or cash. This information is also held on Bank Statements , and The Club accounts. This information is kept for 5 years for audit purposes.

Members information is held on, a bespoke Access database, and an Excel Accounts Spreadsheet  which are held as encrypted Zip files which are backed up to an offline Hard Drive. Additionally a paper file of original membership forms is maintained.

Electronic records are erased 1 year after membership has lapsed or 3 months after a member has deceased, Paper records are destroyed by shredding 6 years after membership has lapsed.

The information provided is used:

  1. To Manage membership of The Club.
  2. To provide The Club with a means of contacting members for: notification of events; flying site information; provision of Newsletters and  for membership renewal reminders.

We will not disclose any information to any third party other than the BMFA without the express permission of the member concerned.

Members may request a written record of the information that is held by The Club.

Members may request the amendment or correction of records at any time.
